ENTRY RULES AND GUIDELINES

  1. You may use a photocopy of the physical or the downloaded form from the event website, to send in your application.

  2. Only one applicant can apply for the Event using a single form. Also, do not send in more than one entry per person; multiple applications will entail all being rejected.

  3. Applicants must submit their entries only via the Application Modes. Please note no individual/group has been authorised to collect entries on behalf of the Event.

  4. NO GROUP ENTRIES will be accepted for the Half Marathon race category.

  5. One representative can submit application forms for maximum 5 individual runners for Half Marathon race category.

  6. Group applications:
    1. Where 20 or more individuals submit their entries together, this will constitute a group entry. All members of a group have to fill and sign individual entry forms. Under ‘Application Type’ in the entry form, applicants need to choose ‘Group’, mentioning the group name and size of the group.

    2. Please DO NOT club Half Marathon entries with group entries. Such entries will be disqualified.

    3. Please note only applicants for the Great Delhi Run, Senior Citizens’ Run and Champions with Disability categories can apply as a group; the Half Marathon category is open for individual entries only.

    4. Each group must submit their entries together one time, in a single envelope under a covering letter as per the format available on an official letterhead issued by the company/NGO/ any entity stating –

      1. Total number of entries enclosed in each race category,

      2. Number, date, amount and bank name of cheque/DD submitted,

      3. Name and contact details of one common point of contact for the group;

      4. Covering letter needs to be on a company/NGO/ any other entity’s official letter head, duly signed and stamped by the authorized signatory of the entity.

      5. Only one cheque/DD will be accepted for group entries. This cheque/DD should be of the consolidated value of application fees applicable for each individual group member. The cheque/DD should be drawn in favour of “PROCAM INTERNATIONAL LTD.–ADHM”.

      6. Deposit application forms along with requisite application fees and covering letter at our Registration office, Please call our helpline number +91 96500 33333 (10 am to 7 pm, Monday to Saturday) or email at adhm@procam.in for submission of forms.

  7. Before sending in your application, please check the following –
    1. Filled in details against all mandatory fields prefixed with ‘*’ in the application form;

    2. Attached documents as may be required to confirm your entry based on the confirmation criteria (applicable only for the half marathon race category);

    3. Attached a copy of your latest passport sized photograph with your application;

    4. Attached a copy of your Govt. issued Photo ID proof, i.e. either Passport, Driving license, Pan Card or Aadhaar card;

    5. Enclosed the requisite application fees ;

    6. Signed the ‘waiver’ in the form;

    7. If applying for the Great Delhi Run or Champions with Disability, and where the applicant is below 18 years of age, the guardian too has signed the ‘waiver’ and written his/her relation with the applicant.

    8. Applicant meets the minimum age eligibility criteria for the chosen race category.

  8. DHL Corporate Championship:

    1. DHL Corporate Championship is open only for registered companies & firms in existence for a minimum period of 1 year before the date application.

    2. Each corporate can send up to 5 teams of 3 members in each team (mixed teams allowed).

    3. Each team member will be required to run a distance of 21.097 km. The aggregate finish timing of all 3 runners will decide the team’s finish position in this category.

    4. Team members need to be permanent full time employees, who have been in the company for a minimum of one year. Contractual/outsourced/trainees/interns/ deputed employees and/or employees in probation period will not be allowed to participate.

    5. Procam reserves the right to ask for any documentation that may be required for verification and confirmation of the team at any point in time.

    6. Procam reserves the right to disqualify a corporate team and/or suspend results/prize money of a corporate team, in case of any discrepancy being found in the application/ documents or in the performance of any of the team member on race day, at any point in time.

    7. A corporate team cannot register for the DHL Corporate Championship online. Please go through DHL Corporate Championship rules and regulations and its prize money structure before submitting your entries.

  9. Documents required for participation in DHL Corporate Championship:To field a team, the company needs to fulfil the appended requirement:
    1. Details of the 3 runners filled in individual application forms,

    2. Attach copy of runner’s employee ID card or appointment letter with each form,

    3. Submit the forms and documents under the letter head of company issued by its H.R. department as per the format available along with copy of PAN card of company/firm. Where multiple teams are being fielded, forms need to be submitted as per the teams formed,

    4. Attach a photocopy of runner’s Aadhar card or PAN card or passport along with a passport size photograph with each form.

  10. Where any discrepancy is found in the application and documents submitted, the same will not be accepted.

  11. On entry confirmation, half marathon runners will be further classified into age categories for prize money. For details on awards and accolades, click here .

  12. We recommend Champions with Disability participants be accompanied by an attendant on race day. The attendant is required to fill in a separate form and submit the same along with the form of the Champions with Disability participant, marking the said form as “Attendant of _______ (name of Champions with Disability participant)”. No entry fee is charged for the attendant.

  13. Post close of registrations, email confirmations will be sent to all the confirmed participants who have given their valid email id in the application form.

  14. Acceptance Letters: Physical acceptance letters will be posted ONLY to those applicants who have not given their email address in the application form. You can also check the status of your application within 15 working days of submitting your application, on the event website: www.adhm.procamrunnin.in.   15. Entries not accepted: Participation in the event is subject to entry confirmation. Where your entry is not confirmed for any reason, the entry fees paid by you will be refunded on or before 31st December 2014. An amount of INR 100 will be deducted as processing charges. Any refund discrepancies must be brought to the attention of the Event Registration Team immediately. Refund queries will not be entertained post 17th January 2015.

  16. Requests for cancellation and thereby, refund will not be entertained.

  17. Running number bib collection: All confirmed participants are required to come to the Get Active Expo in Delhi scheduled from 14th to 16th November 2014 in order to collect their running bibs. No running bib will be posted to individual mailing addresses. It is mandatory for a Half Marathon participant to collect his/her running bib personally from the Expo. In case of unavoidable circumstances, such runner can send his/her authorised representative to collect running bib on his/her behalf. Please note, a representative will not be allowed to collect running bib on behalf of more than ONE Half Marathon participant. For more details on running bib collection, click here. 

  18. Confirmed runner’s identity and proof of residence may be verified by a verification agency hired for validating the details provided by you in the form. Where the identity and/or proof of residence of a runner is found incorrect or incomplete, participation of the said runner will be withheld and there will be no refund of application fees paid by the said runner.

  19. Confirmation of applications received will be subject to Entry Rules & Guidelines given herein. Confirmation of half marathon applications will also be subject to the Confirmation Criteria.

  20. Race day images will be screened visually after the race and if any participant is found wearing a running bib not allotted to him/her, the participant registered for that running bib will be disqualified from the race and the Event’s subsequent edition.

  21. This application form and the right to participate in the event and the rights and benefits available to the applicant under this entry form is at the sole discretion of the event Promoters, Procam International Ltd., and cannot be transferred to any other person under any circumstances. The applicant alone shall be entitled to the rights and benefits arising out of such confirmation of participation.
